Refund Policy
General Policy
CertifyMe DOT provides DOT medical examinations and certification determinations in accordance with federal regulations. Because our services involve professional medical evaluation and federally required reporting, refunds are limited as described below.
Payment for an examination covers the medical evaluation and administrative processing of required documentation and electronic submission to the FMCSA. Payment does not guarantee issuance of a Medical Examiner’s Certificate.
No Refund After Examination Is Performed
Once a DOT medical examination has been conducted, no refunds will be issued, regardless of:
-
Certification outcome (including disqualification)
-
Requirement for additional testing or documentation
-
Employer policies
-
FMCSA determinations
-
Driver license status
The examination fee compensates the provider for time, professional services, documentation, and regulatory reporting obligations.
Cancellation Policy
Appointments may be canceled or rescheduled without penalty if notice is provided at least 4 hours prior to the scheduled appointment.
Cancellations made less than 4 hours before the appointment or failure to appear (“no-show”) may result in:
-
A cancellation fee, or
-
Forfeiture of prepaid fees
CertifyMe DOT reserves the right to require prepayment for future appointments following a no-show.
Incomplete Examinations
If an examination cannot be completed due to missing required documentation, incomplete medical history, or failure to meet examination requirements, the exam fee is non-refundable.
If a follow-up visit is required to complete the certification process, additional fees may apply.
Duplicate Certificates and Corrections
Fees may apply for:
-
Replacement Medical Examiner’s Certificates
-
Corrections requested after submission
-
Additional documentation requests
Technical or Administrative Errors
If an error occurs due to CertifyMe DOT administrative oversight, we will make reasonable efforts to correct the issue at no additional charge. Refunds for administrative errors will be evaluated on a case-by-case basis.
Payment Processing
Refunds, if approved, will be issued using the original method of payment within 7–10 business days, unless otherwise required by law.
